Your documents stay yours –
until it gets serious.
Tenant self-disclosure, proof of income, SCHUFA credit report: with Immomio, these documents are not sent along with your application. The landlord only sees them in the stage in which they have a legitimate interest.

Who sees what, and when?
The letting process is divided into four stages. In each stage, only what is needed for the next step becomes visible – this is not a setting you have to look for, but the way the platform works, and therefore the standard for all providers.
Upload all your documents before it is even clear whether the flat is right for you.
Four stages. Each stage shares exactly what the next step requires.

What landlords may ask for – and what they may not.
Fill it in once, shared when there is a legitimate interest
The tenant self-disclosure form (Mieterselbstauskunft) contains the details a landlord may use to select a tenant. You fill it in once – it is shared whenever a landlord has a legitimate interest.
SCHUFA only when there is a legitimate interest
A credit report – in Germany usually from SCHUFA, the main credit reference agency – only becomes relevant once you are on the shortlist for a specific flat. Until then, nobody sees it.
Upload once, shared stage by stage
You upload all your documents to your profile just once. They are only shared with the landlord in the relevant data protection stage – instead of you emailing them to several landlords.
Store it once, valid everywhere
A housing entitlement certificate (WBS) – required for subsidised social housing – is stored in your profile and automatically taken into account for subsidised flats. Go to the WBS guide
Not part of the system
Questions about ethnic origin, religion, family planning, or political party or trade union membership are not allowed. They are not included in Immomio’s application forms.
Your decision
Documents can be removed individually and your account deleted completely. For ongoing applications, the landlord’s statutory periods apply.
Here, data protection is not an add-on – it is the process.
Immomio is software for housing companies. A landlord who collects too much data too early is acting unlawfully – which is why the stage-based approach is the right solution for both sides, not just for you.
- Developed and hosted in Germany
- Processing in line with the GDPR, selection aligned with the AGG
- Verification keeps bots and scrapers out of the process
- Communication runs within the system, not via private inboxes
A side effect that matters: because your documents are not sent with every application, your application stays complete even if you apply for twenty flats – without handing out sensitive data twenty times.
Questions about data and documents.
Does the landlord see my SCHUFA credit report straight away?+
No. Proof of creditworthiness such as a SCHUFA credit report only becomes visible in the stage in which the landlord has a legitimate interest – that is, once you have confirmed your specific interest in renting after a viewing and the provider has confirmed that you are on the shortlist for a specific flat. During the search stage and the first stage of the application, the provider does not see these documents.
What data does a landlord see when I apply?+
The provider of the flat only ever sees the details from your profile for which they have a legitimate interest in the respective stage. See the four stages of the application process above.
What is a tenant self-disclosure form and when do I have to fill it in?+
The tenant self-disclosure form (Mieterselbstauskunft) summarises the details a landlord may use to select a tenant. In Immomio, you fill it in once and then share it per application. Inadmissible questions – for example about plans to have children, religion or ethnic origin – are not part of the system.
Can I have my data deleted?+
Yes. You can remove documents individually and delete your Immomio account completely. For ongoing applications, the landlord’s statutory retention periods apply; after that, the data is deleted.
Where is my data stored?+
Immomio is developed and hosted in Germany. Data is processed in accordance with the GDPR; selection processes are also aligned with the AGG (German General Equal Treatment Act).
