Baugenossenschaft Familienheim Heidelberg eG
Not so long ago, the housing cooperative Baugenossenschaft Familienheim Heidelberg eG had to take new flat listings off the property portals after just a few hours. The reason: within a short time there were already more than 100 prospective tenants – a workload that was barely manageable. Today, that is no longer a problem: thanks to Immomio, the cooperative has digitalised its letting process.

Familienheim Heidelberg digitalises its letting process
For many years, a part-time employee handled enquiries about rental flats. “After our offers were listed on a portal, we received an email with the prospective tenant’s master data for every enquiry. Before any selection could be made, the employee responsible had to enter this data into a list by hand,” says Jamie Forsyth, property manager and head of the rental property management department at Baugenossenschaft Familienheim Heidelberg, summing up the first steps of the old letting process. Manual processing was a major hurdle, particularly when it came to data protection: “All the data we collected was deleted manually once the flat had been let,” Forsyth recalls.
A letting process in transition
It quickly became clear that things could not go on like this – a suitable solution was needed. The aim of the search was to make the letting process more efficient, and therefore faster, as well as fairer. The result of the search: Immomio. “Immomio has made our workflow much faster. The time saved, especially through the pre-selection, is enormous. We can also contact prospective tenants or send rejections promptly,” says Forsyth.
Besides the cooperative and its employees, prospective tenants also benefit from the new letting process. “With Immomio, allocating flats is more objective and therefore fairer. Listings now stay online much longer than before. This gives more prospective tenants the chance to find the flat they want,” reports the head of rental property management.
Digitalisation and data protection
Digitalising the letting process also opens up new possibilities for data protection. With Immomio, prospective tenants stay in control of their data at all times. If they have found another flat, applicants can delete their application or profile completely with just one click. Once the letting process is complete, the landlord can also easily remove the prospective tenants’ data from their account. “Data protection is a high priority for us. Immomio makes this much easier for us,” says Forsyth. Partly for this reason, he is certain today: “Thanks to the digital letting process, we work much more effectively, quickly and objectively. We made the right decision and are very happy with the switch.”
