Digital letting solutions make life considerably easier for housing companies. The automated processes behind them make workflows more efficient and ease nerve-racking, time-consuming routine tasks – so landlords can concentrate on their core tasks. With automated workflows, Immomio customers can now go one step further to increase their process efficiency and quality standards even more.
Immomio’s new workflow module lets you define specific rules that automatically trigger further steps. Here are a few examples:

Automatic activation and deactivation
For certain flats, landlords know that demand will be very high. To avoid frustration among prospective tenants, it can make sense in such cases to deactivate the property automatically once a certain number of prospective tenants has been reached. Immomio customers can now set this in advance. As soon as the maximum number is reached, all adverts for these flats are deactivated automatically. The same applies to publication: many landlords want their properties to go online at specific times. This no longer requires manual activation: the desired publication time can simply be stored and the system does the rest.
Automatic flat suggestions for fair and transparent allocation
Landlords who like to work with their pool of prospective tenants often face the challenge of maintaining a fair and transparent allocation process. The automatic flat suggestion function can now be extended with a number of rule-based workflows to meet this challenge. For example, you can specify a maximum number of flat offers to be sent automatically to suitable prospective tenants. You can also define how many offers should be sent at the same time and how long to wait for a response before further offers are sent automatically. The entire sending process ends automatically when the maximum number of flat suggestions has been reached or when one or more prospective tenants have reached a specific process step. For example, Immomio customers can have the process stop automatically as soon as the first five prospective tenants have expressed an interest in renting after a viewing.
Allocating viewing appointments automatically
For landlords, the flat viewing and getting to know prospective tenants is one of the central steps in the core letting process. This is where sales talent, expertise and people skills come into play. No machine can replace that. What it can replace, however, is the often time-consuming and laborious process of organising appointments: with Immomio’s new workflows, the invitation process can also run fully automatically according to predefined rules. Regardless of whether the viewings are carried out by the letting staff themselves or, for example, by the previous tenants.
What does this mean in practice for housing companies, cooperatives, property managers or agents?
More efficiency, more focus on what matters
Automated processes in letting make it easier for landlords to concentrate on their core tasks, as they don’t have to get bogged down in time-consuming, laborious detailed work. Another plus: automation prevents follow-up processes triggered by human error. So you can rely on all tasks being carried out reliably and correctly.
Ensuring compliance and legal certainty
Workflows enable letting processes that adapt to the needs of each customer. After all, cooperatives operate differently from housing companies or property managers. Our new workflow module also works on this principle and follows your own company guidelines – so Immomio customers create a clear letting process with firmly defined workflows. Automation also guarantees neutrality and enables absolutely fair flat allocation: the AGG (German General Equal Treatment Act) is taken into account and complied with at all times.
Workflows ensure high quality standards
Automation also helps landlords achieve a noticeable leap in quality: new standards can be established in the letting process. Fancy a small example? Thanks to automated flat offers or automated booking of a viewing appointment including a confirmation email, communication takes place without any media discontinuity. In addition, all prospective tenants are looked after equally fairly and quickly. Whether during office hours or on a Sunday afternoon.
